Referring-Attorney Updates
Monthly: warm status emails to your referring attorneys, generated from each case's file.
The problem
Referring attorneys are the single most valuable acquisition channel for a PI firm. Good relationships produce dozens of cases a year, bad ones produce zero. The thing that turns good into great is updates: the referring attorney wants to know 'how's the case we sent you doing?' Nobody sends those because manually pulling status across 30 cases per attorney takes a week.
The outcome
Once a month, Claude pulls every active case grouped by referring attorney. Per attorney, drafts a single email summarizing all their referred cases. You scan + send. The referring attorney gets a thoughtful, useful update — 5 minutes per month per attorney.

The prompt
Paste this into Claude (with Cohesive360 installed in your Claude → Settings → Connectors). Replace bracketed placeholders with your specifics.
Pull every active case and group them by referring attorney:
1. Identify each referring attorney across our caseload.
2. For each, list their referred cases + current phase + last activity + next milestone.
3. Draft a single status email per referring attorney summarizing all their cases — warm, professional tone.
4. Show me the drafts grouped by attorney. I'll review + send. What Claude does
Step-by-step rundown of the work. Every write is drafted, not posted — you approve before anything lands in your systems.
- 1
Pull active cases + referring-attorney mapping
For each active case, finds the referring attorney from the case's referral-source field. Cases without a referring attorney are excluded.
- 2
Group by attorney + per-case status
Per case: current phase, last note date, next calendar event, settlement milestone if any. Output is one sentence per case, drafted to sound natural in a status email.
- 3
Draft per-attorney email
Per attorney, drafts a single email. Salutation matches your firm's voice with that attorney. 3-paragraph body: opening (warm), case-by-case status (factual), closing (thank-you + offer to discuss). Length 200-400 words.
- 4
Hand off for review + send
Drafts grouped in a single review pass. Edit, approve all, or approve some. Approved drafts can be sent via your email surface or copied for manual send.
Verify before approving
Claude is fast but not infallible. These are the spots most worth a second look before you hit approve.
- Tone should sound personal to that specific attorney, not templated.
- Settled cases that were referred: include resolution + fee paid — highest-value content.
- Confidentiality: only include facts the referring attorney is entitled to see.
